Activity Brief 2: University Budget (READ)

Your Grandparents decided that they would like to support you financially while you are at university.  They have asked you to investigate and compare the sources of income and levels of expenditure that you could incur for university courses which you are interested in applying for.  Also, they would like you calculate the difference between your income and your expenditure for each university and make it clear whether or not you can afford to attend.  When you have completed your research and calculations, they would like you to feed back your results to them in the form of a short letter

The following people have not provided me with a NON ICT SOURCE –  ALEX, ELLIE and BINA.  This could be a photocopy of a relevant part of a university prospectus.  The portfolio will fail without this document.

Task 1 Searching for Budget Information.

(LUCY A)

  1. The information that you include in your budget could come from many different sources. It could include;

information found on websites

information found in a university prospectus (non-ict)

information found in books (non-ict)

“A Guide to financial Support for Higher Education Students” (non-ict, found in the IT Room)

  1. Finding information for your leaflet is a good opportunity to make use of non-ict sources, at least one non-ict source should be included in your portfolio. Take photocopies or scan relevant non-ict sources.
  2. You need to take a screen shot of searches you make to find information for your budget. These searches should be multiple criteria searches separated by quotes “” plus “and”. For example, to look for information about available grants at university the search would be; “University” and “Undergraduate” and “grants”
  3. Take screenshots of your search results
  4. Also, take screenshots of the actual websites and information found on webpages that you will actually use in your budget – you do not have to do this for every piece of information but make sure there is at least one example.

TASK 2– Development of number

(IZZY and LUCY A)

You need to have three print outs of your spreadsheet (make sure your name appears in the header of all printouts).  Check print preview and make sure your printouts are on one page.  Click here to find out how.

3 Printouts;

  1. An intermediate stage for your spreadsheet – this should include all of the main data for your spreadsheet but leave the calculations blank at the moment.  Annotate this printout to indicate what you are going to do next.
  2. A finished spreadsheet which displays formulas, grid lines and row and column headings. Click here to find out how
  3. A finished spreadsheet which displays the results as normal

  1. Development of number: You will need to add an =if function to indicate whether you are over or under budget.-Click here for help on =if
  2. You will also need to add a chart to your spreadsheet;
    • this could be a bar chart to  show the total expenditure by university or
    • a pie chart giving a break down of expenditure

TASK 3 Development of Text (DRAFT LETTER and FINAL LETTER)

(LUCY A and BINA)

  1. You need to write a first draft, outline letter to your grandparents.  This outline letter should;
    • be left aligned
    • show original errors, spelling or grammatical
    • be one long paragraph
    • be unformatted
    • not include any information from your spreadsheet
  2. Print out this letter and annotate to show the changes you are going to make.  You will probably want to change;
    • the alignment of some elements
    • any spelling or grammatical mistakes (capital letters etc.)
    • one long paragraph into shorter ones
    • format various parts of the letter (bold, italic, font size etc.)
    • add in data from your spreadsheet
  3. This will show that you have developed the text in your letter.
  4. You could attach this finished letter to an email and send this to your grandparents – another use of purposeful email.

TASK 3 – Development of number (LAUREN, ELLIE, IMMY, ALICE D, IZZY, ALEX and LORNA)

(ALICE W and SOPHIE there are some errors in your spreadsheet formulae). 

You need to have three print outs of your spreadsheet (make sure your name appears in the header of all printouts).  Check print preview and make sure your printouts are on one page.  Click here to find out how.

3 Printouts;

  1. An intermediate stage for your spreadsheet – this should include all of the main data for your spreadsheet but leave the calculations blank at the moment.  Annotate this printout to indicate what you are going to do next.
  2. A finished spreadsheet which displays formulas, grid lines and row and column headings. Click here to find out how
  3. A finished spreadsheet which displays the results as normal

=if and charts

  1. Development of number: You will need to add an =if function to indicate whether you are over or under budget.-Click here for help on =if
  2. You will also need to add a chart to your spreadsheet;
    • this could be a bar chart to  show the total expenditure by university or
    • a pie chart giving a break down of expenditure

TASK 4 Development of Text (DRAFT LETTER)

  1. You need to write a first draft, outline letter to your grandparents.  This outline letter should;
    • be left aligned
    • show original errors, spelling or grammatical
    • be one long paragraph
    • be unformatted
    • not include any information from your spreadsheet
  2. Print out this letter and annotate to show the changes you are going to make.  You will probably want to change;
    • the alignment of some elements
    • any spelling or grammatical mistakes (capital letters etc.)
    • one long paragraph into shorter ones
    • format various parts of the letter (bold, italic, font size etc.)
    • add in data from your spreadsheet
  3. This will show that you have developed the text in your letter.
  4. You could attach this finished letter to an email and send this to your grandparents – another use of purposeful email.

Charlotte F and Lily - You need to number the pages of your portfolio and create a contents page. Please use the following list as a check list:

ACTIVITY 1 – UNIVERSITY LEAFLET

On the Size section of the Format menu choose 3cm from the Shape height.  (You may need to reposition the image slightly!) 

Save you work by clicking on the Save button. 

On the Size section of the Format menu choose Crop.  Click and drag up on the bottom line to “cut off” the bow tie from the image.  (You will need to resize the image – make it 3cm high.  You may need to reposition the image slightly! 

Save you work by clicking on the Save button.

Type 6, click Decimal, choose Set.

Type 9, click Decimal, choose Set.

Type 12, click Decimal, choose Set.

Click OK

PART B – Ensure that the letter fits on a single A4 page, adjusting margins as necessary.  Place your name, today’s date and the title Printout – 3 in a footer and print the letter.

Question 6 – Mail Merge. 

 

PART A – The data file DetailsB is to be used as a data source for the mail merge.  This is a comma-delimited file with a header row, which some software can use directly as a data source.  (Where it cannot be used directly, use word-processing software to import or open the file and save it as a mail-merge source.) 

PART B – Turn the letter into a merge document and select the data file DetailsB as the source for the merge. 

PART C – In the letter, replace the words TITLE, FIRSTNAME, LASTNAME, ADDRESS1, ADDRESS2 and POSTCODE wherever they appear with the appropriate merge fields. 

PART D – Replace DATE with today’s date.

Step 2, Choose Use the current document from How do you want to set up your letters?  Click on Next

Step 3,  Choose Use an existing list from Select Recipients.  Click on Browse to find the DetailsB data file.  Here is the path:

Double click on the DetailsB file. 

Click OK

Click on Next

Step 4, Replace the words TITLE, FIRSTNAME, LASTNAME, ADDRESS1, ADDRESS2 and POSTCODE. 

Double click TITLE in the document.  Choose More items from the Write your letter.  Double click TITLE from the Insert Merged Fields dialogue box.  Click on Close.  Press the space bar to generate a space.  REPEAT this process for all of the other fields in your letter.

Open a new Word document.

Paste screen dump showing the unmerged letter into this document.

Step 5, Choose Preview your letter.  You can now preview the letter for each Recipient by using the << and >> arrows.   You can even exclude a recipient by using the Exclude this recipient button. 

Step 6, Choose Complete the merge.  You can print all of the letter or a particular one by choosing Print and then All, Current or typing in page numbers From and To in the Merge to Print box. 

 

Print the letter for each of the first two clients only.  i.e. page 1 to 2 only. 

 

 


Question 7 – Copies of merged letter. 

 

PART A – Amend the footer of the letter to change the title to Printout – 5
