Activity Brief 1: Folded Information Leaflet
You need to create a folded information leaflet for a local entertainment venue. Shrewsbury Music Hall or Shrewsbury Town Football Club would be suitable examples, any venue with regular events would be suitable. The leaflet should include pictures, details about the venue, event details and costs for a particular month as well as contact details. Other relevant details can also be added.
Tasks you need to complete for activity 1

Task A – Collecting printed information

Visit your chosen venue and collect some printed information about the venue. This could be in the form of a brochure, a leaflet, a newsletter or a flyer. The more information the better.

Task B – Searching the internet for information and developing your text

Using a search engine on the internet, search for your venue. This should be a multiple criteria search so, for example, “Music Hall” AND “Shrewsbury” should be typed in

Take a screen shot of the search results page

Go to a suitable website and take screen shots of various pages that will be useful. For the Music Hall, the home page and the Music Hall page under “About Us” would both be useful

Print out your screenshots and along with the printed information from your venue (you may want to scan or photocopy this information), highlight the information that you think will be useful for your leaflet. You should highlight text, pictures and figures that you might use.

Either by copying or pasting from the internet or writing in your own words, in MS Word write a few short paragraphs about your venue. Write this in plain text, don’t use headings or bullet points at this stage

Print out your paragraphs and then annotate them to show which words you will change, how you will create headings and where you will insert bullet points

Task C – Developing numbers

Either from the websites you have found or the printed material, choose a month of events. If you take information from the web then you will need to take relevant screenshots of the month.

In MS Excel, set up a spreadsheet and put the heading “(Name of Venue) Events in (Month)”.

Underneath, add the following column headings; Date, Time, Event, Price, Concession (these columns are just a guide – add others if relevant).

Add the event details for your chosen month – remember to format the cells as currency if necessary.

At the bottom of the price column, use one or more of the following functions – =average, =min, = max

Print out your spreadsheet with the numbers showing

Print out your spreadsheet with the formulas showing (Tools-Options-Formulas, click here for help on this). These printouts should have your name in the header and be on one page. The formulas printout should also show row and column headings and gridlines. Click on the relevant links for tutorials on how to do this.

Task D – Finishing your leaflet

Create a blank folded leaflet in MS Publisher. Choose Blank Publications and then Book Fold. Say “Yes” to inserting pages. You will probably want to go to Page Setup and change the orientation from portrait to landscape.

On the first page, include a picture of your venue and a heading. The picture that you use should have been highlighted on your previous printouts.

Alter the picture by cropping it or putting a border around it. Other alterations could be rotating or creating a watermark.

On the second page, paste in your details about your venue that you have in word and make sure you make the changes that you wrote about in terms of word changes, headings and bullet points.

On the third page, paste in your spreadsheet of events

On the fourth page, add contact details for your venue. Again you should have highlighted these earlier.

Print out your leaflet – this is fine in black and white and on two pages.

If there are any mistakes, highlight them with a pen.

Correct them in publisher and then print again, this time double sided in colour.
